Membership Batch Fulfillment

 

 

As more patrons join your member program and pick Mail or Will Call/Pickup delivery, their orders and memberships will collect in the Fulfillment Queue, which is accessed under Support Functions in Agile Sales. You can use the Fulfillment Queue to print cards individually or in batches, depending on what works best for your schedule. Some organizations set up in-person card pickup, and others mail members' cards to them. Either way, Agile's Emails & Letters feature makes it simple to print a list of Welcome Letters that match the cards you have printed. Welcome Letters can thank members, explain their benefits, and embed the member's mailing address at the top of the letter to make it easy to fulfill cards with standard windowed envelopes.

 

If you don't wish to invest time and effort into obtaining a printer, card stock, and learning the fulfillment process, Agile can provide card fulfillment services for costs listed in your contract. However if you have a card printer that is compatible with the Agile software, you can follow the steps below to learn how to print member card batches and print Member Welcome Letters.

 

How to Print Membership Cards from the Fulfillment Queue

1. Log In to Sales.

2. Make sure that you Cash In before starting the fulfillment process. See "How to Cash In and Use AMS Sales to Create a Daily User Batch" for further instructions.

3. Select Support Functions from the menu at the top of the screen. Mouse over Fulfillment and select Membership. (Image 2)

4.  Select your membership program. (Image 3)

5. Select all orders that need to be fulfilled. If you want to print the entire batch, click the Green Check Mark icon at the bottom of the screen. Otherwise, check the box next to each order that needs to be fulfilled. (Image 4)

6. Click the Ticket icon ticket_icon.png at the bottom of the screen. 

7. The Fulfillment Options window will open. Uncheck the Print Payment Receipts box. Select the Print Memberships radio button. Select your card printer under Available Printers and click the top Arrow icon to move it to the Selected Printers. Click OK to start printing your membership cards/passes. (Image 5)

How to Print Member Welcome Letters

8. Click File and click Switch to Administration. (Image 6)

9. Select the House (Corporate Organization) icon. Click the green Customer folder and select Emails and Letters. (Image 7)

10. In the Emails and Letters box, double-click the Welcome Letter. (Image 8)

11. The Email / Letter window will open. Click Set Parameters. (Image 9)

12. In the Set Parameters window, select the batch that you printed in Steps 2 through 6. Click OK.  (Image 10)

13. Click the Preview tab. Then, select the Show All button. This will reveal all the Welcome Letters for this batch of fulfillment. Finally, click Print. (Image 11)

14. A PDF of all the letters will open. Click the Printer icon to print to your selected document printer. This printer does not need to be set up on your terminal in Agile to be able to print letters in this way.
