A film or performance's description may not depend on the calendar, but its start time and even its pricing can change from one day to the next. That's why Agile allows you to set up both a Show and Showing for events. A Show stores all of an event's branding, including its name, images, descriptions, or even its trailer. Once you have built your Show, you can create one or more Showings that share that branding.
Showings work best with Templates. Templates contain information such as inventory numbers and pricing. Setting up a variety of templates can let you generate regular screening, matinees, or even special discounted screenings with a few clicks. To learn more about building a template, click here.
Prior to scheduling a Showing, the Show must be built first. To learn more about building a Show in Web Portal, click here.
1. Click on the Events tab. Then click Showings.
2. Click the green +Add Showing button at the top of the of the screen.
3. In the New Showing window, select the Folder that houses your show.
4. Next, select your Show from the drop-down.
5. Select a Template from the drop-down menu. If you do not have a template to choose from, you can build one.
Note: If this Showing is from a Show that also is available virtually, you will need to designate this new showing as In Person when the option appears above Start Date & Time.
6. Set the Start Date & Time for the Showing. You can type directly into the drop-down to set your times, or you may click the arrow to select a date from the calendar or chose a start time.
If you would like to add more than one showing at once, such as for a run of films or performances, you can add multiple showings by clicking Show Advanced in the bottom right corner. This will reveal a series of more detailed options:
- If your event repeats on specific days of the week, check the box that corresponds to each day under Recurring Every, and set the Through drop-down to the last date the event occurs.
- If necessary, you can update the official runtime or length of your event in the Duration entry boxes. This will affect when the Showing goes off-sale.
- Check Show End Date to make both the event's Start time and the time it officially ends appear online and on tickets.
- You can also put the Showing(s) on-sale immediately by checking Set On Sale. Please note, the dates and times assigned will be generated by your domain's Buyer Type/Sales Channel defaults.
7. Click Continue.
8. In Additional Information you can define event Ticket Verbiage, and Confirmation Text. You are also able to edit button text that will be visible on your ticket purchasing page.
- Ticket Verbiage 1-5 - These field exist to let you specify text to print on printed and electronic tickets.
- Ticket Image - This ticket lets you set an image on printed and electronic tickets. A high resolution of 300 dpi is a must to ensure a good quality image on any printed material. If the image will be added to the footer of a PDF ticket, an image size of 150 by 150 pixels works well.
- Confirmation Text - Use this field to designate any information a customer will need between the time they order and the start of the event, such as specific parking instructions, when and where Will Call or Pickup will take place, and more. You can also include thank you images or GIFs or attach relevant links using the icons at the top of the text box.
9. Scroll down to Sales Channel Availability to set when tickets go on-sale.
10. First, select a Mode.
Simple Mode allows you to make changes to all sales channels at once.
Advanced Mode breaks out your sales channel options to the Web Sales and Box Office Sales so that you can set different sales times for online and in-person sales.
11. Check the box next to the sales channels you would like to activate.
12. Set the times when tickets should go on-sale and off-sale.
Optional: To restrict the number of tickets that may be sold through this sales channel, add a Min or a Max. This will limit the number of tickets that can be added to any single order.
13. The Showing Edit window will open. Should you need to make any changes to this Showing, you can do so now. If not, at the bottom of the screen click the Save Changes button.
